Calendar Module

The Calendar Module lets you define multiple calendars.  Calendars are currently used for calculating the number of days an employee works in a year.  This is especially useful if an employee quits part way through the year, because the system can count the days, rather than the user having to.

 

Probably the first thing you want to do is set up the Calendar Types.  To do this, click on Tools, and then Manage Calendar Types.  There may be some already in the file, carried forward from the previous fiscal year.  You can change the calendar name, start and stop dates, default FTE, default number of months, and default first and last pay periods.  You can also delete a calendar type here, if it has not been used.

You may change all of the calendar types at once on this screen, and then click on Save when you are done.

Now that you have the calendar types defined, you can create a calendar.  To do that, just click on File, then Save As, then chose the type of Calendar you want to create.  If you save from the 'Base' calendar, it will have most major holidays defined as 'Paid Days Off'.  Once you have one calendar created, it may be easier to save that calendar as another type, if the dates are similar.

Once the calendar is created, you can change the date designation by double-clicking on the date.  You can make the date a Paid Day Off, Unpaid Day Off, Tagged or Normal.  If the type is other than Normal, then you can chose a Holiday or Tag.  Tagged Days are just like Normal days, except you can Tag a day, like the 40th day, to print when the calendar is printed.  Only Unpaid days affect the number of days an employee works during the length of the calendar, from the start date to the stop date.

When you have updated all of the days, click File/Save to save, or press CTRL-S. 

To calculate the number of paid days in this calendar, click on Tools, then Calculate Paid days.  This will total the number of paid days in this calendar for you.

To change the calendar you are currently viewing, use the Calendar drop down menu, that shows 'Base' at the left. 

 

If you place your cursor over the month name, a tool tip will pop up to show you all of the dates defined for the current month.
